Your computer says the printer is ready. The Wi-Fi icon is on. You press Print, wait for the familiar sound of paper moving, and nothing happens. When a printer connected but not printing problem stops a school assignment, invoice batch, shipping label, or office report, the connection is only one part of the job. The issue may be a stuck print queue, the wrong printer selected, a driver problem, or a mechanical fault inside the machine.
Start with the simple checks, but do not assume every no-print problem is a computer problem. A printer can appear online while still being unable to feed paper, recognize toner, communicate properly, or complete its own startup cycle.
Printer Connected but Not Printing: Start Here
First, look at the printer itself, not just the screen. Is there an error message, flashing light, low-toner warning, paper-jam notice, or an open-cover alert? A machine that is paused because a door is not fully latched or a tray is empty may still show as connected on your computer or phone.
Make sure it has paper loaded correctly and that the paper guides touch the stack without squeezing it. Remove any partially fed sheet you can see. If you recently changed paper size, check that the paper in the tray matches the size selected in the print settings. Letter-size paper loaded with a legal-size setting, for example, can hold up a job without making the cause obvious.
Then turn the printer off, wait 30 seconds, and turn it back on. For a wireless printer, restart the router as well if more than one device is having trouble printing. This clears many temporary communication errors, especially after a power outage, router update, or network change.
Check the Print Queue and Printer Selection
A stuck print job is one of the most common reasons a connected printer does nothing. One corrupted document, an interrupted job, or a file that is too large can block every job behind it.
On a Windows computer, open Settings, then Bluetooth & devices, Printers & scanners, and select your printer. Open the print queue and cancel all pending documents. On a Mac, open System Settings, select Printers & Scanners, choose the printer, and open the print queue. Delete stalled jobs, then send a small test document such as a one-page text file.
While you are there, confirm that the right printer is selected. Offices often have several similar printer names, including an old machine that was replaced years ago, a PDF printer, or a printer installed through a previous network. If the wrong device is set as the default, your job may be going somewhere else.
Also check that the printer is not marked Offline or Paused. If it is, remove the pause setting and try again. A USB-connected printer should be plugged directly into the computer for testing when possible. Hubs, docking stations, and loose cables can create intermittent problems that look like a printer failure.
Test Whether the Problem Is the Printer or the Computer
The fastest way to narrow down the cause is to print a page directly from the machine. Most printers have a menu option for a configuration page, status report, or print-quality test page. Some models can produce a report by holding a button combination.
If the printer produces its own test page, the print engine is working. The problem is more likely related to the computer, driver, network, print queue, or software settings. If it will not print a self-test page, the problem is inside the printer or in its immediate setup.
For a home user, try printing from another device on the same network. For an office, have a second workstation send a small job. If one computer prints and another does not, avoid replacing toner or taking the printer apart. Focus on the computer that fails, its driver, and its network permissions.
If no device can print but the machine can print a configuration page, check its network status report. Look for the IP address and confirm that it matches your current network. A printer may remain connected to an old Wi-Fi network after a router replacement or may receive a new IP address that the computers do not recognize.
Driver Problems Can Look Like Hardware Problems
Printer drivers translate the document on your computer into instructions the printer can use. When a driver is outdated, damaged, or intended for a different model, the printer may receive a job but never begin printing. It may also print blank pages, random characters, or only part of a document.
Remove the printer from the computer, restart the computer, and add it again using the correct model. This is particularly helpful after upgrading Windows or macOS, replacing a router, or moving a printer from USB to Wi-Fi. In a business setting, be careful with shared printers and managed print servers. Removing a device may affect custom tray settings, finishing options, secure-print settings, or accounting codes.
Avoid repeatedly reinstalling drivers if the printer cannot print its own internal test page. Software cannot correct a worn pickup roller, failed fuser, damaged formatter board, broken sensor, or power supply issue.
Look for the Mechanical Issues a Screen Cannot Explain
A printer can be connected, powered on, and visible on every computer while a physical problem prevents it from printing. Older machines are especially prone to wear in the paper-feed system. Pickup rollers can become smooth and fail to grab paper. Separation pads can wear down, causing multiple sheets to feed. Small scraps of paper can block sensors after an earlier jam.
Laser printers may stop with a fuser, toner-cartridge, drum, transfer, or high-voltage error. Inkjet machines can have dried ink, clogged printheads, carriage faults, or ink-system problems. Multifunction copiers add more possibilities, including scanner errors, finisher faults, tray-lift problems, and control-panel issues.
Do not force paper through the machine or pull out a jammed sheet against the direction of travel. That can damage sensors, rollers, and gears, turning a straightforward service call into a larger repair. If the printer makes grinding noises, smells hot, repeatedly jams in the same location, or displays a service code, stop sending jobs until the cause is identified.
When an Office Printer Needs More Than a Restart
For a small business or busy office, the real cost of a printer problem is often downtime. Staff may waste hours resending documents, moving files to another device, or trying random fixes while payroll, customer paperwork, and shipping operations wait.
A recurring issue deserves a proper diagnosis when it affects multiple users, returns after every reboot, or happens only with certain trays, paper sizes, or finishing functions. These patterns help identify whether the cause is the network setup, a configuration setting, a worn component, or a failing board.
It also makes sense to consider the age and duty cycle of the machine. A repair is often the sensible choice for a well-built office printer with an isolated failed part, especially when replacement would require reinstalling network settings, training staff, and buying new supplies. On the other hand, a low-cost home printer with several major failures may not justify extensive repair. The right answer depends on the model, condition, parts availability, and how much reliable printing matters to your work.
